A Self-Service time entry user guide for time entry supervisors.


More Information

  • Automated email notifications go out to supervisors when a time entry is submitted or unsubmitted. In self-service, an employee can go back in and edit their time entry after submitting if it is still before the cut-off.
  • Automated email notifications go out to employees when their supervisor approves/unapproves, rejects/unrejects, and/or edits their time entry.
  • Process Help is in top right corner of Self-Service. It may answer a lot of your questions.

Time Approval Instructions​​​​​​​

Note: If not a first time user skip to Step 6

 

For first time Access:

  1. You may see this ‘Default view’:

  1. Click on ‘Apply Filters’ to make employees should appear:

  1. If there are no employees set up for your approval, you will see this:

 

Time Approval Instructions:

  1. You will see a summary screen of the employees you have to approve. If you have both students and staff to approve, you will see 2 tabs to choose from:

  1. This shows the ‘status’ of the time entry and the total hours entered for the 2 week pay period.  Please note, that this will update live’ as the employee adds any hours to their time entry.
  2. You can approve from this summary screen, reject from this summary screen, and add comments for the employee as well.
  3. Clicking on the ‘’ will take you to the detail view of the 2 week pay period.

  1. The detail view is the best place for you to review submitted time. For Staff, you will see total hours worked for each day and also any other earning types entered (vacation, sick, holiday, …)
  • In this detail view you will see 1 week at a time. Use forward arrow to go on to the next week.
  • You can approve here, reject here, and add comments here. Please remember that in the detail screens you need to make sure that each week is approved.
  • Also remember that if you reject an employee’s time entry, let them know why in the comments and only reject when they still have access to their time entry (their cut off is the last Saturday of the two week pay period).

Note: You can also make corrections to the employee’s entered time on their behalf before approving.
