MS Outlook - Shared Mailbox

Description

A user must be granted permission to view any shared Mailbox in Exchange. Permission levels are set by the Infrastructure team.

Resolution/Troubleshooting 

Add a Shared Mailbox in Outlook:

Windows:

  • After permission has been given to access a Shared Mailbox, the account should be made available without user intervention

MacBook:

Add a Shared Mailbox in Outlook on the web:

Shared Mailbox requests a password or is locked​:

When accessing a shared mailbox, the user is prompted for a password or is told the account is locked

  1. Open Outlook
  2. Go to View > View Settings > Email Accounts
  3. Remove the shared mailbox from Outlook
  4. Restart Outlook

Shared Mailbox is empty or not updating​:

  1. Open Control Panel
  2. Select 'Mail (Microsoft Outlook)' and then 'Email Accounts'
    • Click your account -> Change
  3. Select 'More Settings' and then the 'Advanced'  tab
    • Uncheck 'Download Shared Folders'
